Reseller Workflow: From Sourcing to Profit
9 min read · Updated July 2026
Reselling online — whether on eBay, Etsy, Amazon, or your own store — can be profitable, but only if you understand your true costs. Platform fees, shipping, returns, sales tax, and income tax all eat into your margin. This guide walks through the complete reseller workflow, with free tools to calculate your real profit at every step.
Phase 1: Calculate True Profit After Fees
The most common mistake new resellers make is looking at the sale price minus the cost of goods and thinking that is their profit. It is not. Every platform charges fees:
- eBay: 13.25% final value fee + $0.30 per order + optional listing upgrades
- Etsy: 6.5% transaction fee + 3% + $0.25 payment processing + $0.20 listing fee
- Amazon: 8-15% referral fee + $0.99 per item (Individual plan) or $39.99/month (Professional)
- PayPal/Stripe: 2.9% + $0.30 per transaction
On a $50 sale with a $20 product cost, eBay fees alone take $6.93, leaving only $23.07 — before shipping, returns, and taxes.

Phase 2: Check Sales Tax Nexus
If you sell more than $100,000 or 200 transactions to customers in a state, you may have "economic nexus" and be required to register, collect, and remit sales tax in that state — even if you have no physical presence there.
Key sales tax facts for resellers:
- 5 states have no sales tax: Oregon, Montana, New Hampshire, Delaware, Alaska
- Marketplace facilitators (Amazon, eBay, Etsy) collect and remit sales tax on your behalf in most states
- If you sell on your own website, you are responsible for sales tax collection
- Failure to register when you have nexus can result in back taxes and penalties

Phase 3: Handle 1099-K Reporting
Starting in 2024, payment platforms (PayPal, Venmo, eBay, Etsy, Amazon) are required to send Form 1099-K if your gross sales exceed $5,000 (the threshold is phasing down to $600). The IRS receives a copy of this form, so your reselling income is reported automatically.
Important: The 1099-K reports gross sales, not profit. You are responsible for deducting your cost of goods sold, fees, shipping, and other business expenses on your tax return. If you do not track these, you will pay tax on the full gross amount.

Phase 4: Track All Business Expenses
Every dollar you spend on your reselling business is a potential tax deduction. Track these categories from day one:
- Cost of goods sold: What you paid for inventory, including shipping to you
- Platform fees: eBay/Etsy/Amazon fees, PayPal/Stripe processing fees
- Shipping costs: Postage, packaging materials, labels
- Storage: If you rent storage space for inventory
- Equipment: Printer, scale, camera for product photos
- Software: Listing tools, inventory management, accounting software
- Home office: If you have a dedicated space for your business
- Mileage: Driving to source inventory or ship packages

Phase 5: Find Your Break-Even Point
Your break-even is the number of items you must sell each month to cover your fixed costs (software subscriptions, storage, equipment payments). Anything above break-even is profit.
For example, if your fixed costs are $200/month and your average profit per item (after fees, shipping, and COGS) is $8, you need to sell 25 items per month just to break even.

Phase 6: Compare Payment Processors
If you sell on your own website (not through a marketplace), you need a payment processor. Compare the effective rates:
- Stripe: 2.9% + $0.30 per transaction — best for developers and SaaS
- PayPal: 3.49% + $0.49 per transaction — best for buyer trust
- Square: 2.6% + $0.10 per transaction — best for in-person sales
- Cash App Pay: 2.5% per transaction — lower fees, fewer features

Phase 7: Handle International Sales
Selling internationally opens new markets but adds complexity: customs duties, VAT/GST, currency conversion, and longer shipping times. Key considerations:
- EU orders over €150 require IOSS (Import One-Stop Shop) registration for VAT collection
- UK orders require UK VAT registration for sales over £135
- Currency conversion fees typically add 1-3% to your costs
- Customs delays can cause negative reviews — set accurate expectations
