How AI task prioritization works — illustrated

Every task you paste is scored against the two axes of the Eisenhower Matrix: urgency (how soon it must happen) and importance (how much it moves your goals). A local language model reads the context of each line — deadlines, stakeholders, consequences — and assigns one of four quadrants: Do First, Schedule, Delegate, or Eliminate. When the model isn't loaded yet, a fast keyword heuristic scores the same axes with pattern matching (words like "urgent", "deadline", or "strategy") so you still get a sensible matrix instantly. Either way the classification runs entirely in your browser, and the output is a color-coded 2×2 grid plus a copy-ready prioritized plan.

Each task is scored on urgency and importance by a local LLM (or keyword heuristic), then placed into one of four quadrants for action.

Worked example — Liam's chaotic Monday

Liam pastes nine tasks from his notes: a customer production bug, the investor pitch deck, a status meeting, some Slack replies, and "browse industry news". He clicks Prioritize without waiting for the model download.

  1. Classify:With the model still loading, the keyword heuristic flags "production bug" as urgent + important (Q1) and "browse industry news" as a time-waster (Q4).
  2. Refine with AI:Once the local LLM is ready, Liam reruns the list. The model reads context and moves "reply to Slack" to Q3 (delegate) because it is urgent but low-impact.
  3. Review the matrix:The 2×2 grid shows 2 tasks in Do First, 3 in Schedule, 2 in Delegate, and 2 in Eliminate — each with a one-line reason.
  4. Export the plan:Liam copies the formatted plan into his task manager, starting his day on the two Q1 items and scheduling the Q2 strategy work for focus time.

What Is the AI Task Prioritizer?

The AI Task Prioritizer takes an unsorted to-do list — the kind you scrawl in a rush, one task per line, no structure — and sorts it into the Eisenhower Matrix. That is the classic two-axis model that scores every task on urgency and importance, producing four quadrants: Do First, Schedule, Delegate, and Eliminate. An AI model running in your browser reads each line, judges which quadrant it belongs in, and attaches a brief reason for the placement. Instead of staring at fifteen equally loud items, you get a visual board showing the two or three tasks that genuinely deserve your next hour, and the ones you should quietly drop.

Who Should Use This Tool?

Managers whose task list is really an inbox of other people's requests use it to separate genuine emergencies from loud interruptions. Freelancers juggling client deadlines against unpaid admin work see which invoicing and follow-ups actually block revenue. Students balancing coursework, applications, and part-time jobs get an honest look at what can be scheduled for the weekend instead of tonight. Anyone returning from vacation to fifty accumulated items uses it triage-style: paste everything, get the matrix, start at the red quadrant. If you already use the meeting summarizer in this suite, its extracted action items can flow straight into the prioritizer.

How Does It Work?

(1) Paste your tasks into the input box, one per line. Any phrasing works — full sentences or fragments. (2) Click prioritize. The AI evaluates each task against the two axes, assigns it a quadrant, and explains the call in ten words or fewer, so you can disagree with context. (3) Read the results board: four color-coded quadrants with your tasks inside, plus a summary count for each. (4) Copy the prioritized list and work it top down. There is a heuristic mode that runs instantly with keyword rules, and an AI mode that downloads a local model once and reasons about each task more precisely.

What Do the Four Quadrants Mean?

Quadrant one, Do First, holds tasks both urgent and important: the production bug a customer reported, the contract change a client needs answered today. Quadrant two, Schedule, holds important but not urgent work — quarterly planning, skill development, relationship building — the tasks that quietly build careers precisely because nothing forces them. Quadrant three, Delegate, covers urgent but low-value interruptions: some meetings and routine requests another person can handle. Quadrant four, Eliminate, is the honest one: social media browsing, trivial busywork, tasks with no consequence. Most people discover their list skews heavily toward quadrants one and three, which is exactly the insight the matrix exists to deliver.

Frequently Asked Questions

How does the Eisenhower Matrix categorization work?

Paste your task list and the AI evaluates each task on two dimensions: urgency (deadline-driven, time-sensitive) and importance (impact on goals, long-term value). Tasks are sorted into four quadrants: Do First (urgent + important), Schedule (important, not urgent), Delegate (urgent, not important), and Don't Do (neither). Each quadrant has specific action recommendations.

Can it handle a large task list?

Yes. The AI processes up to 50 tasks per run. Each task receives a brief rationale explaining why it was placed in its quadrant. For example, "Q1 Report due tomorrow" → Do First; "Research new tools (no deadline)" → Schedule. All processing runs locally in your browser—no task data is transmitted.
